How to export data from Veracross

This guide shows you where to find class, subject, grade and contact data in Veracross so you can import it into Atomi. This is for your Veracross admin, usually someone in the registrar's office, business office or IT team.

Veracross doesn't have a single tool called "List Builder". The feature that does this job is called Query Design, found in the reporting area of Veracross. Veracross's help centre is behind a customer login, so screens can vary slightly by school.

Prerequisites

  • Administrator-level access to Veracross, not just a teacher, parent or student portal login.

  • A security role with query or reporting permissions. Ask whoever manages Veracross security roles at your school if you can't see a reporting option.

  • Knowledge of your current academic year and term, since Veracross queries are usually filtered by these.

  • A spreadsheet tool to combine the two exports below.

Where to find each export

  • Classes, subjects, grade levels and teacher emails: click the Query Design menu item to build a query on the Classes (or Course Sections) data category, then click the Add field icon to add the instructor's related Email Address field.

  • Student rosters and emails: click the Query Design menu item again to build a second query on the Class Enrollment (or Schedule) data category, then click the Add field icon to add the student's related Email Address field. This gives one row per student per class.

  • Click the Action menu button on each query, then the Export to Excel or Export to CSV menu item, then combine the two files using the class name or code as the shared key.

Note: Once you've exported this data, head back to Preparing your data for import into Atomi to format it using the Atomi Import Template and send it through to us.

Troubleshooting

The export comes back empty or with missing rows. This is usually a filter problem. Veracross queries often default to the current year or term, or to active students and classes only. Check the filters before running again.

You can't find the Query Design option, or the Export is greyed out. Your security role likely doesn't include query or reporting permissions. Ask whoever manages Veracross security roles at your school to add this, or ask your registrar or IT team to run the export for you.

Teacher or student email addresses show up blank. This usually means the Email Address field wasn't added as a related field in the query, or that the underlying contact record is missing an email address. Check both.

Year level shows as "Grade" instead. Veracross uses Grade (for example, Grade 9), not Year level, since most Veracross schools are in the US or use a grade-based system. Map Grade to Year level when you bring the data into Atomi.
