How to export data from Compass

This guide shows you where to find class, subject, teacher and student data in Compass so you can export it to Atomi. It's written for whoever manages Compass admin at your school, usually an IT coordinator, data manager or office manager.

Compass doesn't have one export that covers everything. You'll typically need to combine two exports: one for classes and subjects, and one for teacher and student email addresses.

Prerequisites

  • A staff login to Compass with admin-level access.

  • The SubjectsAdmin permission. This controls access to the Subjects and Classes export tools.

  • Administrative access to People Management (sometimes called secretarial-level access) for the Advanced Filter and Export & Stats tools.

  • A spreadsheet program, such as Excel or Google Sheets, is needed to open and combine the downloaded files.

If you're not sure what permission level you have, ask whoever manages your school's Compass account to check or to run the export with you.

Where to find each export

  • Classes and subjects: click the Teaching and Learning menu item, then the Subjects and Classes menu item, then the Exports tab. Click the Microsoft SDS export option to download a set of linked CSV files. [Screenshot: Subjects and Classes page with the Exports tab open] The Section file holds your class names and subjects.

  • Teacher and student email addresses: click the Organisation menu item, then the People Management menu item, then the Advanced Filter button to filter by role (Student or Staff) and status. Click the Exports & Stats button, then the Filtered People menu item, to download the list.

  • Combine the files yourself, matching classes to people using the ID columns. Compass doesn't do this step for you.

Menu names and export options can change between Compass updates. For the exact, current click path, see Compass's own Support Centre and knowledge base, or ask Compass support to confirm the steps for your school's setup.

Note: Once you've exported this data, head back to Preparing your data for import into Atomi to format it using the Atomi Import Template and send it through to us.

Troubleshooting

I can't see the Exports tab under Subjects and Classes. This almost always means you don't have the SubjectsAdmin permission. Ask your Compass administrator to grant it, or ask them to run the export for you.

My class export doesn't clearly show the year level. The Microsoft SDS export doesn't always include a dedicated year-level column against each class. If your class codes show the year level (for example, 10MAT1 for Year 10 Maths), read it from there. Otherwise, check with Compass support for the best field to use.

Some students or teachers have a blank email column. This means Compass doesn't have an email address saved on that person's profile, not that the export failed. Add the missing email in their Compass profile, then re-run the export.

The CSV file looks jumbled when I open it in Excel. Open Excel first, then use Data > From Text/CSV to import the file rather than double-clicking it.
