Exporting your school data for CSV import

Learn how to export student, staff and class data from your SIS or timetabling software and send it to us in the right CSV format.

Overview

Setting up your Atomi account starts with your school's data. You'll export information about students, staff and classes from your Student Information System (SIS) or timetabling software, then send it to us as CSV (comma-separated values) files.

What is a CSV file?

A CSV file is a simple, widely supported file format that stores data in rows and columns. Most SIS platforms and timetabling tools can export data in this format. We use it to build your Atomi account with the correct users and classes.

CSV import is the most common way we receive data from schools, particularly during initial setup or at the start of a new academic year.

When you'll need to export data

The CSV import happens at two key points:

  • Initial setup: when your Atomi account is first being built, we need a full export of your students, staff and classes.

  • Rollover or start of year: when a new academic year begins, we need updated data so your portal reflects current enrolments and timetables.

In both cases, the steps are the same:

  1. Export the relevant data from your SIS or timetabling software.

  2. Check that the export looks complete and correct.

  3. Send the files to provisioning@getatomi.com or your Customer Success Manager.

  4. We receive the data and configure your account.

Tip: We work with a specific CSV format. Not all SIS platforms export data in exactly the format we need, so some files may need adjustments before they're ready to send. Each platform-specific guide in this section walks you through what to export and what to check.

What data do we need?

The exact fields are covered in the CSV format requirements and field reference article, but at a high level, we need:

  • Student emails: listed for each class, one per row.

  • Staff emails: for each class, listed together in a single cell and separated by a pipe character ( | ).

  • Class and subject information: class names, year levels and clear subject descriptions.

Not every platform stores or exports all of this in the same way. Your platform-specific guide covers exactly which reports or exports to run.

FAQs

What if my school uses a platform that isn't listed?

We can work with data from any SIS, as long as it's in the right format. Contact your School Success Manager and they'll help you work out the best export approach.

Can I send the data in a different file format?

We need CSV files specifically. If your SIS exports data as XLSX or another format, you can usually save or convert the file to CSV before sending it. Your platform-specific guide will cover this if it applies.

Who should I send my CSV files to?

Send them to Atomi’s provisioning team at provisioning@getatomi.com or your School Success Manager.

How long does account setup take after I send my files?

The Atomi team’s average turnaround time is up to 72 hours. However, timing depends on the complexity of your school's data and where you are in the setup process. Your School Success Manager will confirm the timeline once they've received your files.
