How do year-level rollovers work with Wonde?

What Atomi needs from you to set up year-level rollovers and keep your Year 12 students' access through the end of the year.

Overview

A student rollover is when a school gives a year level early access to the next year level's content. The most common example is Year 11 students getting access to Year 12 classes in Term 4. That way they're ready to go from day one of the new school year. Some schools also roll their graduating Year 12 students into "Year 13" classes to retain their access through the end of the year (for example, while they prepare for final exams).

If your school uses Wonde, there are a few things to be aware of during this period. Atomi manages the technical side of the rollover on your behalf, but we need some information from you to get it right.

What you need to do

To set up rollover classes for your school, email [email protected], or ask your Customer Success Manager to log a request on your behalf. The sooner you get in touch, the smoother the transition.

When you reach out, please include the following:

  • The date you plan to remove Year 12 students from your SIS or roll them into Year 13 classes. This is the most important piece of information. We need to disconnect your Year 12 classes from the Wonde sync before this happens. Please contact us at least five business days before this date.

  • Which classes need to be rolled over (for example, all Year 11 classes rolling to Year 12, or specific class IDs).

  • Any other year levels being rolled over, not just Year 11 to Year 12.

  • Any new classes added to your SIS that need to be mapped. These aren't automatically picked up by the integration, so our team will need to map them manually.

  • Any subject or curriculum preferences we should be aware of (for example, old vs new syllabus, specific subject codes).

Study Skills classes: If your school runs Study Skills or similar classes, we need to map these to a corresponding class in your SIS, such as a pastoral care, assembly or homeroom class. Students must be assigned to that SIS class for us to pick them up in the Wonde feed. Let us know which SIS class you'd like us to use as the placeholder when you submit your request.

Turnaround time: Our average turnaround time for rollover requests is 5 to 7 business days from when we receive your information. We recommend submitting your request well before your planned Year 12 removal date to avoid any gaps in access.

Why we disconnect Year 12 classes from the sync

When a school removes Year 12 students from their SIS at the end of the year, or rolls them into Year 13 classes, that change flows through to Atomi overnight. This means those students can lose access to Atomi before they've finished their exams. Most schools don't realise this happens automatically.

To prevent this, we disconnect your Year 12 classes from the Wonde sync before the end of Term 3. This keeps your current Year 12 students' access intact right through to the end of the school year, regardless of what happens in your SIS.

Please don't update your SIS without telling us first. If we haven't disconnected your Year 12 classes from the sync before you make changes, those students will lose Atomi access overnight. Contact us at [email protected] as soon as you have a date confirmed.

What you'll see in your account

Once we've set up your rollover classes, your Year 11 students will appear in two classes for the same subject: their existing Year 11 class and a new Year 12 class for the upcoming year.

For example, a student in 2026 Year 11 English will also appear in a new class called 2027 Year 12 English. This is intentional, not an error. The new class is ready for them when the new school year begins.

What happens in Term 1

Once your school has updated its SIS for the new year, let us know and we'll run a fresh sync. This will create the new year's classes, assign the right students, and remove the graduated Year 12 cohort from Atomi in one step.

FAQs

We've already removed Year 12 students from our SIS. What do we do?

Contact us straight away at [email protected]. Your school can restore the Year 12 students in your SIS so we can remap their classes and restore access, or you can provide us with a list of students and we can import them back manually.

We don't roll our students into the next year's content. Does this process still apply to us?

Yes. If you plan to remove your Year 12 students from your SIS, or if you'll be making any significant changes to your timetable at year-end, we still need you to let us know in advance. Those changes will flow through the Wonde sync to Atomi overnight, and we need to make sure your classes are protected before that happens.

We need to roll over a year level other than Year 11. Is that possible?

Yes. The same process applies to any year level rollover. Just let us know which classes and year levels are involved when you submit your request.
